Efficiently Transition Into the New Year

The time has arrived to transition from2004 to 2005! Here are six steps that will set you up for a year of efficiency and success in the coming year.
1. Paper — It’s time to sort through all those papers that have just been stacked. File them, toss them or take the needed action to complete them.
2. Files: Past Year — Get a file storage box, old file folders, markers and blank labels for archiving the past year. This is a great time to reuse old folders that have bent tabs and multiple labels stuck on top of each other. Label folders in the box for statements you need to archive for the year as well as putting a file in front of the box specifically for tax documents you’ll collect while you go through this process. Check with accountant or CPA for a list of the documents they will need as well as an updated list of statements you must save.
3. Files: Upcoming Year — Create files for coming year. Office supply stores sell bright colored file folders that can at least make filing a bit more pleasant, so get a color you enjoy or that matches your office. Print a set of labels for different accounts and documents to create a complete filing system that meets your filing needs. Don’t forget, when you print labels on the computer, make sure you save the list of file labels you created so you don’t have to retype them every year.
4. Files: Computer — Clean up computer files. Delete duplicates, create new folders for sorting and make it so you have the fewest clicks and fastest find for opening a document. If files can be saved by year, create subfolder in that category for files from previous year so you won’t be searching through a huge list.
5. Calendar — Review 2004 calendar and record special dates to the 2005 calendar such as birthdays, anniversaries, special events and the general date of recurring events so you won’t miss important dates in the future. It is also a good time to schedule or mark down maintenance appointments whether it is a check up for you personally or for something such as changing your water filter.
6. Goals — Review accomplishments and goals you set for the past year. Celebrate achievements and reflect on how much growth has occurred. Then look at the coming year and set goals that will make it a successful and efficient year!
